Approval
The Faculty has delegated authority from the STA to approve training programmes/posts for compliance with Faculty policy and educational guidance. All posts undertaken for training credit must be approved by Faculty Visitors on behalf of the Faculty.
In order to give approval, the Faculty must receive a request from the Faculty Adviser [WORD], including documentation stating the job description and educational objectives. This is usually achieved through the Faculty Visits programme. Between visits, the Academic Registrar and Education/Faculty Advisers Committee can give temporary approval until the next Visit, when formal approval must be sought.
Job Description
Minimum Requirements for Approval of Training Posts
- All posts must be numbered using the Faculty system and job descriptions for each numbered post must be on file in the Education Office.
- There should be a clearly defined training policy for the region.
- Each Trainee should have a named educational supervisor and a named academic tutor to whom there is access. This information should be included in every Visit Request Form.

- No educational supervisor should have a load of more than 2 trainees of any kind (SHO/SpR/SpT) at a given time.
- No new Trainee should be on their own in a training location.

APPROVAL OF SHO POSTS
All new SHO posts are formally approved by the Faculty through Visits, however, the Academic Registrar can grant temporary approval for new posts in the interim. The following information is required for approval of an SHO post:
- A full job description
- A list of educational / training objectives appropriate for a short term post
- The name of the training supervisor
- A completed Approval Request form
The job descriptions and training objectives for Specialist Registrar posts are not acceptable for SHO posts, since the time frame is so much shorter. Please note that in order for doctors to be awarded GPT/training credit from these posts, they must be advertised in open competition.
If the post is to be part of the General Practice Vocational Training Scheme, the documents listed above must also be sent to the local RCGP Adviser for approval.
SHO posts, together with LATs, FTTAs and SpR posts, must be considered for approval in the next Visit to the deanery and must be recorded in the next Faculty Visit Request documents.
